SAMPLE TEAM MEETING AGENDA GUIDELINES

Parents should be in attendance


Prior to the start of league play, a team meeting should be scheduled to discuss the following:

  • Review Code of Conduct and Dispute Resolution Procedure

  • Zero tolerance: drugs, alcohol, hazing, theft, vandalism, or any other inappropriate behaviour

  • Dressing room procedures, time before games, leaving rooms clean, leaving Clubhouse as found, etc.

  • Pre-game stretching and warm-up exercises.

  • Disciplinary action for lateness to games and practices, missing games and/or practices - provide a copy of team rules and consequences (with copy to Category Director).

  • Allotting of jersey numbers (i.e. 2nd year players have first choice)

  • Conduct around rink

  • Discuss with goaltenders as to rotation

  • Dress code for coaches and players - all teams must wear SSAC approved colors and styles on ice; dress shirt and pants must be worn to and from GAMES (no jeans, sneakers, or sandals allowed).

  • Proper rest, curfews, and nutrition

  • Fundraising and accounting (i.e. expectations, plans, and preferences)

  • Rules for parents' conduct and cooperation - treatment of all players, team officials, referees, and respect for other players and fans.

  • Number of games and practices - distribute schedules.

  • Coaching philosophy - explain the individual and team skills you will try to teach the players and where you might be changing the emphasis during the season.

  • Playing time - make sure each player knows how you will handle playing time during regular season, playoff games, and tournaments, etc. Let parents know that earned ice time does not mean equal ice time.

  • Tournaments - let all team personnel and players in conjunction with parents, have a say in regards to the number of tournaments, distance to travel, timing, travel arrangements, and etc. - parent consensus should be achieved at this meeting.
    Wearing of face shield, helmet straps, neck guards, full equipment.

  • SSAC Policy Regarding Trainers : The South Side Athletic Club, as a volunteer organization, does not require any team to hire a Trainer. A fully qualified Trainer has achieved certification by the Canadian Athletic Therapist Association (CATA). While it is unlikely fully qualified Trainers will be available, teams are encouraged to seek volunteer Trainers to work with them (sources - students from NAIT, UofA, etc studying Physiotherapy, Kinesiology, PhysEd, etc requiring experience as part of their training). Should an individual team wish to pay an Honorarium to a Trainer, they must have, by way of a vote, the support of the majority of the parents on that team. The parents must agree to cover the cost of the Honorarium as part of that team's operating costs. The Trainer will be supervised by, and the responsibility of, the Head Coach of that team for his/her performance.

  • INJURY REPORTS
    Immediately following the injury of a player (or coaching official), complete a CHA Injury Report Form and immediately,submit it to Edmonton Minor Hockey, 10618 - 124 Street, T5N 1S3; Phone: 413-3498; Fax: 440-6475. Information and bills pertaining to this injury must be submitted within 90 days. All teams (coaches and/or managers) and Category Directors should have these forms on hand at all times.   • Wayne Gretzky Award Selection Criteria

  • This award is given yearly to the player that best exemplifies athletic ability, Scholastic achievement, and Community involvement.
    Junior Council , Any Junior B player is eligible.
    AA Counci l, Any player on an A, AA, or AAA team is eligible.
    Federation Hockey Council , Player category is determined yearly.

INFORMATION TO GATHER When submitting a person for this award, this summary of information to gather will assist the selection committee when choosing the successful candidate.

Athletic Ability Provide a summary of athletic participation, awards and athletic achievements (team or individual). Make note of leadership positions held (Captain, Assistant etc). Contact coach or organization for a letter of reference for the individual.

Scholastic Achievement Provide a summary of educational achievements such as honors standings, enrollment in honors programs, individual educational awards, etc. Obtain a letter of reference from a teacher, principal or other faculty member.

Community Involvement Include a summary of community involvement such as volunteering with the Community league, coaching, school, church or other charitable organization. If possible provide any supporting documentation.

Home life (This is optional but will assist the award presenter)

  • Provide a summary of leisure activities, hobbies and important contributions to the players family life.


  • Select a parent representative for the following positions:

ASSISTANT MANAGER - collects money from the parents, makes bank deposits, and prepares financial statements for the team. One of the parents with signing authority for the bank account.

EQUIPMENT MANAGER - will be responsible to have the jerseys at the games, collecting them after games and washing them (cold water, hang to dry) as needed throughout the season.

FUND RAISER - suggest two people to share this position. They will be responsible for organizing the team's fundraising events. Everyone will participate in fundraising.

TELEPHONE COMMITTEE - suggest two people for this. They can phone members for short notice practices or games.

SOCIAL COMMITTEE - suggest two people for this. They will be responsible for organizing any social functions, including the year end Banquet.

PARENT REPRESENTATIVE - this person should be a responsible, approachable person that can act as a liaison between the parents and the coaches and managers should any problems or concerns arise during the year.

50/50 SALES PERSON - this person will organize, assign, and keep track of parents whose turn it is to sell 50/50 at the Edmonton Oilers games. Usually once per season per parent is all that is required.

GATES RECEIPTS PERSON - this person will assign a parent to collect admission at the gate prior to game time.

STATS PERSON - an individual may be requested to keep additional stats for the team. These may include shots on net, +/- of the players, where goals scored from, etc.

BINGO COORDINATOR - a parent from the team to look after the Bigness and coordinate the parents to work the Bingo's that are assigned them by the SSAC Bingo Director.

VOLUNTEER COORDINATOR - a parent from the team to look after obtaining parent volunteers for various SSAC commitments such as the SSAC Fall Tournament, the AA Council Christmas Tournament, Provincials, Minor Hockey Week, etc.
